Southsea Investments (Pvt) Ltd is looking for a highly motivated Finance Administrator to support our finance and operations teams in managing day-to-day financial activities. As a key member of our team, the Finance Administrator will play a crucial role in ensuring smooth financial operations and providing ongoing support to teams and staff.

Duties and Responsibilities:

  • Facilitate payments required for the organization in liaison with the Operations Manager and Head Office Accountant, adhering to set Standard Operating Procedures at all times.
  • Monitor creditors and issue requisitions for day-to-day payments, seeking approval from the Operations Manager.
  • Analyze inventory history to assist in forecasting stock requirements, presenting findings to the Operations Manager for final approval.
  • Monitor import orders and deliveries, providing weekly updates to relevant stakeholders.
  • Capture and input all stock take variances into the accounting software, ensuring accurate records.
  • Assist in reconciling all bank and petty cash accounts on a daily basis.
  • Assist in conducting monthly reconciliations of all accounts to ensure accuracy.
  • Process purchase requisitions, reallocations, and confirm budget balances.
  • Input data into subsidiary ledgers, ensuring proper authorization in line with business SOPs.
  • Ensure that all general and subsidiary ledger entries have supporting documents.
  • Capture expense invoices into accounting software, ensuring correct allocation, and escalate any observed non-compliance issues to the Accountant.
  • Ensure timely completion of monthly financial processing within pre-circulated reporting deadlines.
  • Manage and coordinate the acquisition of import licenses for all the business trading lines.

Qualifications and Experience:

  • Education: First Degree in Finance/ Accounting/ Business Management.
  • Minimum of 5 years post-qualification experience in business administration.
  • Proven track record of a practical approach to project management.
  • Strong knowledge and experience with Microsoft Office and Accounting Packages.
